After handover, operation begins

tarcus Facility Management is the tool for running the building. The models, drawings and photos gathered during construction stay with it, and on top of them come the asset register, maintenance plans, work orders, service requests and a replacement forecast. Everything tarcus Site does is inside.

Familiar from every building

  • Binders at handover, and no manual to be foundAn asset can be created from its model element, and where the model carries the manufacturer, the model and the paths to its manuals, they come with it. Each path is matched to a file in the building's documents, so the right operation and maintenance manual opens from the asset.
  • Maintenance done from memoryA maintenance plan raises the work order on time, and the checklist says what to check. Every answer stays in the maintenance history with who gave it and when, even after the contractor changes.
  • A fault report stays on someone's phoneA service request gets a number and reaches the facility manager at once. One click turns it into a work order, and the person who reported it is told whether it became a work order, was rejected or was closed.
  • A replacement comes as a surpriseInstallation year, service life and replacement cost give a 20-year forecast: which assets fall due in which year, and what they will cost.

What's in tarcus Facility Management

  1. Select an element in the model and add it to the register: name, code, system, manufacturer, model, level and room come from the model where it holds them. It reads the Estonian RKAS BIM property numbers and the IFC manufacturer data. The asset stays tied to its element, and its card takes you straight to it in the model.

  2. Print QR labels on A4 sheets, 24 to a sheet. Scanned with a phone, a label opens the asset card after sign-in: its details, manuals, files, work orders and a button to report a problem.

  3. A work order has a number, type, trade, priority, asset, assignee, due date, level and room. Technicians start and finish their own work in the phone's browser; the facility manager closes or reopens it.

  4. A maintenance plan has an interval in days, weeks, months or years, an assignee, a trade and a checklist. As the due date nears, the plan raises a preventive work order on its own, 14 days ahead by default.

The register in and out of Excel

Export the register as .xlsx, if you like together with the model's equipment that is not in it yet. Fill it in, mark the rows with an x and import: assets are added or updated, and nothing is deleted.

  • Rows matched by Asset ID, then by IFC GUID
  • An empty cell keeps the value, a hyphen clears it
  • The result counts the rows added, updated and skipped
  • Up to 20,000 rows at a time

Checklists

Build a checklist once and use it in maintenance plans and work orders. Each line is answered one way: OK, not OK or not applicable, a written answer, a measured value, a choice from a list, or a photo.

  • A measured value with its unit and its minimum and maximum
  • A required line, or a required photo
  • A work order cannot be marked done while a required line is unanswered
  • Each answer shows who gave it and when

Service requests

Any member of the organisation can report a fault, a Viewer too, from the Maintenance page or from the asset card. The facility manager turns it into a work order in one click, rejects it or closes it, and the reporter is told.

  • Numbered SR-1, SR-2 and so on
  • Facility managers hear of it straight away
  • The contact can be someone else, such as a tenant who phoned

A replacement forecast by year

Installation year plus service life gives each asset its replacement year. A 20-year table shows the cost and the number of assets for each year; click a year to see which they are.

  • Assets past their service life
  • Warranties ending within 12 months, or already ended
  • Replacement value by system and by level
  • The whole budget to Excel

Also included

Manuals with the asset

The product information, maintenance manual and schematic paths from the model are matched to files in the building's documents, so the right manual opens from the asset and from the model. Photos and files can go on a work order or on a single checklist line.

Rooms from the model

The rooms register comes from the model's rooms: number, name, level, area and how many assets each holds. A room's card takes you to the model and to its assets.

Maintenance history

Every completed checklist with its answers, readings, notes, who and when, like a maintenance log book. Filter by period, asset or result, and export to Excel.

Building parts and a yearly reserve

Model elements are sorted into 28 building parts, such as roofs, facades, windows, floor finishes, ducts and pipes, with the quantities the model holds. Add a unit rate and a renewal cycle to see the renewal cost and what to set aside each year.

Dashboard

Every building, open and overdue work orders, the next 14 days, new service requests and active maintenance plans. The eight soonest work orders across all buildings are there at a glance.

Notifications

Each person chooses: an e-mail for each one, a summary at 7:00 every morning, or nothing, and the bell in the app. Nobody is told about what they did themselves.

For the people who run the building

  • Facility managerSees on the dashboard how many work orders are open and overdue across every building, and the new service requests. Turns a service request into a work order and closes finished work.
  • Maintenance managerSets up the maintenance plans and checklists, and sees in the maintenance history what was done, when and with what result.
  • TechnicianSees their own work orders in the phone's browser, scans the asset's QR label and opens the manual. Fills in the checklist on site, with photos and readings.
  • Building ownerSees the 20-year replacement forecast, the assets past their service life and the warranties running out, and takes the budget to Excel. The budget is open to the Manager and Administrator roles.

All of tarcus Site is inside

The facility manager works with the same models, drawings and photos the site used.

  • Every discipline in one view Sections, measuring and walking, in the browser.
  • Element data Every IFC property, the level and the room, in one click.
  • Floor plans and drawings Plans from the model, PDF drawings tied to it.
  • 360° photos Photo rounds on the plan. Photos taken before covering show what is behind the wall or above the ceiling.
  • Photo and model side by side From the same viewpoint, turning together.
  • Notes and BCF An assignee, a due date and an e-mail.
  • Documents The building's documents, with folders and versions.
  • The iPhone app Plans, model, 360° photos and notes, without a signal too.

Data and security

  • Data in the EUThe application and its database run in Amsterdam, and the files are kept in an EU data centre.
  • Two-step verificationA code from an authenticator app, with recovery codes. Administrators must use it by default, and an organisation can require it of everyone.
  • Four rolesAdministrator, Manager, Technician and Viewer. People join by e-mail invitation, which can be limited to your company's own domains.
  • Encrypted backupsThe database is backed up every night, encrypted, and read back to check it. Deleted files can be restored for 30 days.
  • Activity logWho uploaded, changed or deleted what is kept on record for a year, and the log exports to Excel.
  • Personal dataEveryone can download their own account data. An administrator can erase a person's account, and the log keeps what was done without their name or e-mail address.

Questions and answers

Do I need a tarcus Site package as well?

No. tarcus Facility Management is sold on its own and has everything tarcus Site does inside it.

Does the building need a BIM model?

No. Assets can be added by hand or from Excel, and maintenance plans, work orders and service requests work without a model. A model adds assets from its elements, the rooms register, building part quantities and the 3D view.

Does the technician need a separate app?

No. Work orders, checklists and the asset card open in the phone's browser. Open the work order while there is a signal. If it drops after that, the checklist answers and status changes wait on the phone and go when the connection is back. Photos and comments need a connection.

Can a tenant report a fault?

If they have an account in your organisation, a Viewer included. A Viewer account does see every building in the organisation, though. There is no public form without an account yet, but the facility manager can enter the report on the caller's behalf.

What if a stranger scans a QR label?

They see the sign-in page. The asset card opens only for members of your organisation.

Can a maintenance contractor's technician take work orders?

Yes, once they have an account in your organisation. A work order has one assignee, who has to be a member.

Can we bring in an existing register from Excel?

Yes, as .xlsx, up to 20,000 rows at a time. Start from an export: it has a how-to sheet and dropdowns in the cells.

What language is the app in?

The interface and the e-mails are in English. Asset and room names, checklists and work orders stay in the language they were entered in.

Only for construction?

tarcus Site has the models, drawings, 360° photos and notes for the project team.
